Who we are and scope
Minnabot operates this website and related custom bot, tool, and automation services. The data controller is the legal entity that contracts with you where a contract exists; otherwise, the operator identified on the Contact page or in correspondence. This Policy does not cover third-party sites we link to.
Personal data we collect
We may process: (a) identity and contact details you provide (such as name, email, phone number, or messaging handles); (b) the content of inquiries, project descriptions, and attachments you upload; (c) technical data such as IP address, browser type, device type, language preference, and coarse location derived from IP; (d) usage data such as pages viewed, form submissions, and timestamps, as recorded by our hosting stack or analytics tools when enabled.
How we use personal data
We use personal data to respond to messages, prepare proposals and quotes, deliver and support agreed work, operate and secure the website, troubleshoot issues, comply with legal obligations, and improve our services. We do not sell your personal data. If we send optional marketing, we will do so only where permitted and provide a way to opt out.
Cookies and similar technologies
We may use cookies, local storage, or similar technologies for essential functionality (for example locale or session state), security, or aggregated statistics. You can control cookies through your browser. Blocking certain cookies may limit some features.
Sharing and subprocessors
We share personal data with providers that help us host the site, send email, store files (for example contact attachments on Cloudflare R2 when configured), run analytics, or process payments if applicable. They act on our instructions and under appropriate agreements. We may also disclose information if required by law, to enforce our terms, or to protect rights, safety, and security.
International transfers
Subprocessors may process data in countries other than your own. Where required by applicable law, we rely on permitted mechanisms (such as adequacy decisions, standard contractual clauses, or your consent). The exact transfers depend on your deployment configuration and provider locations.
Retention
We retain personal data only as long as needed for the purposes described, to manage ongoing relationships, and to meet legal, tax, accounting, or dispute-resolution requirements. Technical and security logs are kept for limited periods consistent with investigation and integrity needs.
Security
We implement reasonable technical and organisational measures appropriate to the risk, such as access controls, TLS for data in transit where standard, and careful handling of credentials and attachments. No internet transmission or storage is completely secure; please avoid sending highly sensitive secrets unless necessary and through agreed channels.
Your rights
Depending on applicable law, you may have the right to access, rectify, erase, restrict, or object to certain processing, to data portability where applicable, and to withdraw consent where processing is based on consent. You may also have the right to lodge a complaint with a supervisory authority. To exercise rights, contact us via the Contact page; we may need to verify your identity before responding.
Children
Our services are not directed to children under the age where parental consent is required in your jurisdiction. If you believe we have collected such information, please contact us and we will take appropriate steps to delete or restrict it.
Changes to this Policy and contact
We may update this Privacy Policy from time to time; the date at the top will change. Where changes are material and the law requires, we will provide additional notice. Questions or requests regarding this Policy can be sent through the Contact page on this website.
This policy is a practical template for a small software and automation studio. It is not legal advice. Have qualified counsel align it with your jurisdiction (for example GDPR, local data protection laws) and with the subprocessors you actually use.
